Governance & Compliance — Role-Based Control & Audit-Ready Operations
Granular role-based access, multi-level approval workflows, real-time compliance monitoring, and tamper-proof audit trails for regulatory-ready warehouse operations.
Strengthen GovernanceEvery Action Authorized. Every Transaction Auditable.
Warehouse operations involve hundreds of daily transactions — inventory adjustments, write-offs, master data changes, and order modifications. Without proper governance, unauthorized changes create shrinkage, compliance gaps, and audit failures. ProWMS enforces role-based access at every level, requires approval chains for sensitive operations, and maintains a tamper-proof audit trail for every transaction — so your warehouse is always audit-ready.
Role-Based Access Control
Define granular roles — warehouse manager, picker, packer, auditor, client viewer — each with specific permissions for screens, actions, and data visibility.
Activity-Level Permissions
Control access at the transaction level: who can receive inventory, create adjustments, approve write-offs, view reports, or modify master data. Least-privilege by default.
Multi-Level Approval Chains
Configurable approval workflows for high-impact actions — stock adjustments, write-offs, rate changes, and master data modifications require designated approver sign-off.
Compliance Dashboard
Real-time compliance dashboard tracking SOP adherence, approval turnaround times, exception rates, and audit readiness scores across all warehouse operations.
Exception Logging & Escalation
Every deviation from standard operating procedures is logged, categorized, and escalated based on severity. Repeated exceptions trigger automated reviews and corrective action workflows.
User Activity Monitoring
Complete visibility into every user action — login times, transactions performed, screens accessed, and data modified. Activity reports support internal audits and investigations.
Client-Specific Data Isolation
Multi-tenant architecture ensures each client's inventory, orders, and reports are completely isolated. Client users see only their data with their own role hierarchy.
Regulatory Compliance Support
Built-in support for GST compliance, e-way bill generation, FSSAI requirements for food warehousing, and CDSCO guidelines for pharma storage — with automated documentation.
How Governance & Compliance Works
Six layers from role definition to continuous compliance optimization.
Define Roles & Hierarchy
Create role templates for every function — warehouse manager, supervisor, picker, packer, QC, auditor — with hierarchical reporting and escalation paths.
Assign Granular Permissions
Map each role to specific permissions: which screens they can access, which actions they can perform, which data they can view, and which warehouses they can operate in.
Configure Approval Workflows
Set up approval chains for sensitive operations — stock adjustments above threshold values, write-offs, master data changes — with configurable approver levels and SLA timers.
Monitor & Enforce
The system enforces all access controls in real time. Unauthorized actions are blocked, exceptions are logged, and compliance dashboards track adherence continuously.
Audit & Report
Generate compliance reports for internal audits, client reviews, and regulatory inspections. Complete audit trails provide evidence of every transaction and approval.
Review & Optimize
Periodic compliance reviews identify gaps, optimize role structures, and update approval workflows based on operational changes and regulatory updates.
Frequently Asked Questions
How does role-based access control work in ProWMS?
ProWMS allows you to define custom roles with granular permissions at the screen, action, and data level. Each user is assigned one or more roles that determine exactly what they can see and do in the system. For example, a picker can view pick lists and confirm picks but cannot access inventory adjustment screens or financial reports. Permissions are enforced in real time — there is no way to bypass role restrictions.
Can approval workflows be customized for different transaction types?
Yes. Approval workflows are fully configurable per transaction type and value threshold. For example, stock adjustments under 100 units may require only supervisor approval, while adjustments over 1,000 units require both supervisor and warehouse manager sign-off. Write-offs, rate changes, and master data modifications can each have their own approval chains with SLA timers for escalation.
How does ProWMS handle multi-client data isolation?
ProWMS uses a multi-tenant architecture where each client's data — inventory, orders, transactions, reports — is logically isolated. Client-specific users can only access their own data, and even internal warehouse users see client data only for the clients and warehouses they are authorized for. This isolation extends to reporting, dashboards, and API access.
What kind of audit trails does the system maintain?
Every transaction in ProWMS generates an immutable audit trail entry with user ID, timestamp, action type, affected records (before and after state), IP address, and approval chain status. Audit trails are searchable by date, user, transaction type, and warehouse. They cannot be edited or deleted, ensuring regulatory compliance and dispute resolution capability.
Does ProWMS support GST and e-way bill compliance?
Yes. ProWMS generates GST-compliant invoices, manages HSN code mapping for all SKUs, and automates e-way bill generation for inter-state and high-value shipments. The system validates GSTIN numbers, calculates applicable tax rates, and maintains the documentation required for GST audits and returns filing.
How are exceptions and SOP deviations handled?
When a user action deviates from the configured SOP — skipping a scan step, overriding a recommended location, processing out of sequence — the system logs the exception with details and severity. High-severity exceptions trigger immediate supervisor alerts. Exception reports help identify training needs, process gaps, and areas where SOPs need to be updated.
Can different warehouses have different governance rules?
Yes. Governance rules — roles, permissions, approval workflows, and compliance requirements — can be configured per warehouse. A pharma warehouse may have stricter QC approval chains and temperature logging requirements, while a general merchandise warehouse has different role structures. The system supports both global policies and warehouse-specific overrides.
How does ProWMS support regulatory audits?
ProWMS provides pre-built audit report templates for common regulatory requirements — GST audits, FSSAI inspections, CDSCO reviews, and client compliance audits. Reports include complete transaction histories, approval chain documentation, exception logs, and user activity records. Auditors can be given read-only access to specific date ranges and transaction types without exposing other operational data.
